SMS Privacy Policy

Correctional Health Partners Inc. (“CHP Health,” “we,” “us,” or “our”) respects your privacy. This SMS Privacy Policy describes how we collect, use, protect, and share information related to text messaging (SMS) communications between you and our individual employees. This policy applies solely to SMS text messaging and is separate from any other privacy notice we may maintain for our website, services, or patient information.
1. Scope of This Policy
This policy covers personal information collected or processed in connection with SMS communications sent to or from phone numbers assigned to Correctional Health Partners Inc. employees. It does not address protected health information (PHI) governed by HIPAA, which is handled in accordance with our separate Notice of Privacy Practices.
SMS is not used to transmit protected health information (PHI), personally identifiable information (PII), or any HIPAA-regulated data. CHP Health employees are instructed not to send, request, or discuss PHI, PII, or HIPAA-regulated information over SMS. Text messaging is used solely for general business coordination, such as scheduling, confirmations, follow-ups, and non-sensitive administrative communication.
2. Information We Collect
In connection with SMS communications, we may collect:
- Your mobile phone number, provided by you to a CHP Health employee during the course of a business interaction.
- The content of text messages you exchange with our employees, limited to non-sensitive business communication.
- Metadata associated with SMS delivery, such as timestamps, delivery status, and carrier information, as generated by the underlying telecommunications provider.
- Your name and any identifying context you share during the conversation or that our employee already holds from your existing business relationship.
We do not collect, store, or transmit protected health information (PHI), personally identifiable information (PII) beyond what is listed above, Social Security numbers, financial account information, medical records, treatment details, insurance information, or any HIPAA-regulated data through SMS.
3. How We Use SMS Information
We use information collected through SMS solely to:
- Conduct one-to-one conversational business communication between an individual CHP Health employee and you.
- Respond to inquiries, coordinate meetings, confirm appointments, follow up on prior correspondence, and otherwise support the business relationship between you and the employee.
- Process opt-out, opt-in, and help requests (STOP, START, HELP).
- Comply with legal, regulatory, and carrier obligations, including 10DLC and CTIA messaging guidelines.
We do not use SMS information for marketing, promotional, automated, bulk, or application-generated messaging.
4. How SMS Consent Is Obtained
You provide consent to receive SMS messages from Correctional Health Partners Inc. when you give your mobile phone number directly to a CHP Health employee during a business interaction — such as a phone call, meeting, email exchange, contact form submission, or written agreement — with the understanding that the employee may contact you at that number by voice or text. Consent is not a condition of purchasing any product or service.
5. Sharing of SMS Information
No mobile information, including phone numbers and SMS opt-in consent data, will be shared with third parties or affiliates for marketing or promotional purposes. All categories of information described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
No personally identifiable information (PII), protected health information (PHI), or HIPAA-regulated information is shared via SMS or through the SMS platform, because such information is neither collected nor transmitted through this channel in the first place. Any PHI or HIPAA-regulated information relating to the services CHP Health provides is handled exclusively through secure, compliant channels governed by our HIPAA policies and Business Associate Agreements, and is addressed in our Notice of Privacy Practices — not this SMS Privacy Policy.
We may share SMS-related information only in the following limited circumstances:
- Telecommunications and Messaging Providers: With Microsoft and the underlying carriers, aggregators, and operators that deliver SMS messages on our behalf, strictly as necessary to transmit and receive messages and to comply with regulatory requirements such as 10DLC registration.
- Legal Compliance: When required by law, subpoena, court order, or other valid legal process.
- Protection of Rights: Where necessary to protect the rights, property, or safety of CHP Health, our employees, or others.
6. Message Frequency and Rates
Message frequency varies and depends on the nature of your individual business relationship with the employee. Messages are sent only as needed during the course of normal business communication. Message and data rates may apply; standard messaging rates from your wireless carrier apply to all SMS messages sent to or received from CHP Health.
7. Opting Out
You may stop receiving SMS messages from CHP Health at any time by replying STOP to any message you receive from us. You will receive a confirmation message, after which no further SMS will be sent from that number. To resume messaging, reply START or contact the employee directly.

8. Data Security
We use reasonable administrative, technical, and physical safeguards to protect information transmitted via SMS. However, SMS is not an inherently secure communication channel and is not suitable for the transmission of sensitive personal, financial, or health information. For that reason, CHP Health does not send or accept PHI, PII, or HIPAA-regulated information via SMS. You should not send such information to CHP Health by text message; if you need to communicate sensitive information, please contact us by phone or request a secure channel.
9. Data Retention
SMS content and related metadata are retained only as long as necessary for legitimate business purposes or as required by applicable law, regulation, or carrier rules.
10. Your Rights
Depending on your state or country of residence, you may have rights regarding your personal information, including the right to access, correct, or delete the information we hold about you. To exercise these rights, contact us using the information in Section 12.
11. Changes to This Policy
We may update this SMS Privacy Policy from time to time. The most current version will always be posted at this URL, with the “Last updated” date revised accordingly.
